Schedule templates and duplicate schedules

The template allows you to create pre-recorded standard weeks for your employees. These templates can then be transposed onto your schedules according to your needs.
It is essential too to help you manage the alternation of your schedules.

Sometimes an employee has constraints that impact their availability, and this on a recurring basis.
For example, a parent who has custody of their children every other week, or a student is available to work only on certain days of the week.
It is, therefore, necessary for you to be able to alternate the availability of your workforce in order to ensure that you have the necessary personnel in the field. It is for this reason that the templates exist.

Special features of the templates

  1. Are not associated with specific dates
The shifts associated with a template are not linked to specific dates. This allows you to stick then where you need them.
  1. Are not associated with a week of pay
Emprez allows you to create until to 52 schedule templates. However, these templates are not associated with pay periods. You can, for example, use the same four templates constantly during the same year.
  1. Are associated with an employee
Although more than one employee may have the same templates, you can modify the information of one without this having an impact on colleagues. This allows you to manage special cases on your schedule.

Create a template

There are two ways to create a template:

1. From an employee file

You can create a template for a specific employee by accessing the template menu located in their file.
  • In the Employee's file, click on Templates,
  • Click on + at the bottom right
  • A typical week is created automatically, you just have to fill it according to your schedule wishes
  • Under Templates for an Employee - The first week starts on (Optional) you can enter a reference date.
    • If you specify a date, Emprez will use it when creating your schedules to suggest the template to use when you are in the employee's templates view > and click on  below the employee's name.
    • If you don't enter a date, Emprez will not suggest templates to use when you click .
Only the positions associated with this employee can be modified.
You can use the Predetermined shifts to fill the shifts.
Any modification to the size of an employee will not have an impact on other employees in a similar position.


2. From the Templates menu

  • Go to the Schedules > Templates, to create a template for one or more weeks,
  • Choose the service et/or department you want and the template of the week you want to define,
    If you want to make changes to an existing template - choose the week concerned (vertical menu on the left),
IMPORTANT: The templates are associated with weekdays and not with specific dates. Thus, they can be reused in any week of your calendar and as many times as necessary.
  1. Your employees are displayed, click on the desired shift to create a template for a specific employee,
  2. Use the Predetermined shifts, if applicable,
  3. This will allow you to create a standard schedule for this employee who will be called Week 1,
  4. Repeat for each of your employees' schedule scenarios,
  5. Click Save to save the schedule template entered.


Apply a template to the schedule for all the employees

  • Go to the Schedules by employee,
  • Then choose the service, the department then the week of the templates you want to define, then click on Load,
  • To apply the template created, click on the template icon,
  • And apply the template per week you want.
Note: You can then duplicate your choices over a long period using  
If you have made your schedule by selecting the 4 weeks option (number of weeks visible), you can then duplicate the information for 6 months. (Which can then be copied for another six months.)


Apply an employee template only

  • Go to the Schedules by employee,
  • Choose the service, the department then the week of the templates you want to define, then click on Load,
  • To apply the template created, click on the template icon  that appears under the name of the employee concerned when you hover over their name with your mouse. 
  • Apply the template per week as you wish.
