Use the plans and the Schedule by plan option
The Schedule Manager allows you to create and revise your schedules based on your company's workforce needs.
Scheduling by planning is an innovative method that allows you to create your schedules from a previously created plan.
This method allows you to meet the needs of the company, making the schedule is simply "filling the boxes" or needs to be met.
To do this:
You must have previously defined the shifts that will be offered to your employees for each of the positions in your company.
It is thanks to this section that the monitoring and verification system of your dashboard works properly.
Create a requirement plan for your future schedules
- Go to the Schedules > Schedules & plans,
- In the left menu, click on Manage Plans,
- Create a schedule by clicking on the word "Add" or "New +".
- Add the desired positions and shifts to be filled
- Define the parameters of your shift
- Enter the start and end of the shift,
- Note the number of people who will be filling this position during this shift,
- Define the duration of the meal and breaks (don't forget to check the "paid" box if paid),
- Repeat these three steps as many times as necessary for each shift needed for your plan,
- Use the Copy To feature to copy the information you entered to another day of the week.
- Save your changes.
Use a plan
- Select the Schedules & Plans option from the main menu,
- Choose your plan in the left-hand section Plans,
- Select the correct Period to apply your plan,
- Click Load.
Different coloured dots allow you to quickly identify your labour needs in your schedule:
Here are the colour codes used by the application to alert you to different events in the scheduling section:
- Click on a box to open the employee selection window,
- Check the employee you wish to assign the shift to,
- The scheduler shows you the hourly rate, the seniority and the level of your employees.
- The indicate the unavailability of the employees (occasional, recurrent or if they are busy at another position).
- Click on Save to save your choice and exit the selection window.
Use Missing Shift if no one is available to take a shift. Emprez will allow you to send a message to the employees of your choice to notify them of your scheduling needs.
- Click on Publish All,
- Then Save to display the schedule to your employees.
Planning Audits
Once created and activated, your schedule will be systematically used by Emprez to validate your schedules and inform you of any shortfalls that need to be filled.
Here is what will appear on your dashboard if your scheduling needs are not met:
If you do not want the application to check your plans anymore, deactivate the option :
- In the Schedules tab, choose Schedules / Planning,
- In the left section, click on Manage Schedules,
- Click on the plan you want to deactivate,
- Uncheck Automatic check,
- Save
Modify a plan
Your needs may change. You can change your plans by following these steps:
- Go to the Schedules & Plans menu,
- In the left-hand menu, click on Manage Plans,
- Once the Plan Manager page is loaded, click on the end of the line that concerns the plan you wish to modify,
- Make the necessary changes,
- Click on Save to have your changes updated.
Provide access to plans
To share your plans with other Emprez users who may need them to create schedules while taking into account your recommendations, follow these steps:
- Go to the Schedules & plans menu,
- In the left-hand menu, click on Manage Plans,
- Once the Plan Manager page is loaded, click on the end of the line that concerns the plan you wish to modify,
- In the Users who can use this plan box, click on next to Full name,
- A User Selection page will open, you will have to select the Division where the user you want to share your plans works, then select his or her name in the drop-down menu under User.
- Finally click on Validate, then on Save.
Display and apply the plans in the schedules by position
The Show Plans in Shift Schedules feature will allow you to have visibility into your staffing, shift, day and time requirements when creating your schedules.
In order to make your plans visible in the shift schedules you must select the option Show plans in shift schedules in your Preferences, then click on validate.
Don't hesitate to disconnect and reconnect so that your option can be updated.
- In the menu Schedules > Schedules by Position, you will be able to see your plans in the last line of the section concerned,
- Click on the position you wish to fill and the addition will be done automatically in the schedule on an available employee and will be deduced from your needs in the last line.
- As for your classic schedules, click on to publish and Save.
