Importing employees in batch from an Excel file

Emprez offers you the possibility of importing employees from an Excel template. You can download the template directly from the application.
For companies that have Desjardins or Nethris as their web service, consult the article on importing employees through the web service in order to import your employees' files directly from your web service.
To import your employees in batches from an Excel file, follow these steps: 
  1. Click on the Employee tab, then Create / Import an employee 
  2. In the menu Import Employees from a file, click on Excel Template to download the template that you will use to create employees 
  3. Download your structure, it will be useful later.

  1. Enter the employee information in the downloaded template
Here is the format to respect for the different cells and the mandatory cells: 
  1. Enter the Employee number,
  2. Enter the first and last name in their respective boxes,
  3. Enter the gender: F for female or M for male,
  4. Under Date of birth/seniority/hiring date: 2018/07/20  * Be careful to put "/" and not "-"
    If this is not the format you have, change the format of the cell in the cell properties.
  5. Under Unit owning job: copy and paste the fields of your structure to your list of employees on which you work,

  1. Under Position15.25 *Put a "." instead of "," for cents,
  2. Under Schedule type: mark one of the following three terms: RĂ©gulierProbation ou Partiel,
  3. Under Position type: Permanent, Contractual, Probation, Intern, Temporary, Occasional or Temporary (80 days and +),
  4. Under Bonus on Job: mark the exact name of the bonus already created in Emprez,
  5. Save the file on CSV UTF-8 format.
Warning:
It is important that the name of the payroll company, the Unit owning job, as well as the position, are exactly the same as the terms used in your structure otherwise the system will not be able to export the data to Emprez. You must pay particular attention to spaces and capital letters.
Remove unnecessary empty boxes. Leave no space between one employee and another.
5. Import your document
  1. Choose the company in which you want to add the employees contained in your work file.
If after all these steps your file turns out to be rejected, do not hesitate to send us a ticket with your file attached.
