Departure of an employee and closing of an employment file
It is important to close the records of employees who have left your company for the following reasons:
- Only active employees will appear for scheduling
- Accuracy of information for reports and statistics generated by Emprez
- Improved performance when loading information on the screen
⚠️Please note that you can close all employee's file (employee, manager, limited administrators) except for Administrators accounts which will have to be closed by an Emprez agent, if this is the case send us a ticket. Here are the 3 steps to follow to complete an employee's file:
1- Change the status of your employee
- In the employee's file, click on Status section,
From the Status window, click on to add a new detail record to the file. - Complete the required fields: Date, Type et Cause
- Enter the employee departure date,
- Choose Departure in the cause,
- Enter a note in the file if this necessary,
- Click on Save.
- If the employee was scheduled in the future, you can simply click on Delete schedules in the future to delete everything at once,
- Save the changes to the file to return to the employee's file.
💡 You should see your recording appear in the section Details.
If a note has been entered, a sheet icon will appear. Hover over it with your mouse to see the information you have entered there.
The employee file status will display terminated as of the date you enter for the employee's departure. 2- Make the employee file "invisible" (to be done once the last payroll of the employee is processed)
- In the employee's file, click on the Employee's name,
- Uncheck the option The employee is visible,
- Click on Save.
Your employee will stop showing in your schedules and timesheets from the time you make this employee Invisible.
3- Disable access to authorized applications
- In the Employee file, click on Mobile and Web access,
- Below the password, uncheck the box Account is Active,
- Click Save.
In order to find an invisible file, please check the "Include Hidden Employees", at the bottom of the search bar when searching for a file. This option will add all invisible employees to your search.
