Availability : Definition & utility
Availability is a way to quickly see if your employee:
- Can work for the day
- Can't work
- Is already busy working at another position or branch
The availability of your employees is not their schedules, but rather the time ranges for which they are available to work.
By having configured the availability correctly, you will be able to know in real-time which of your employees are available to work on a week, a day, or a specific time of the day. Emprez will assist you when creating your schedules thanks to several color codes and symbols which you will discover in the section below.
Before creating your schedule, it is preferable to modify the availability of your employees according to their particularities.
Color codes in practice
The shifts available for your employee are displayed in green
Your employee non-availability is displayed in yellow
Risks of scheduling conflicts are displayed in red
Hover over with your mouse to consult the availability or unavailability of your employee
will appear if you are trying to schedule a shift that does not respect your employee's availability.

Change employee availability
If when you schedule employees, you get errors that the employee is not available, there may be a problem with their availability in the system.
You have two ways to rectify the situation:
1. Edit from the employee file
Weekly availability
- Access the employee's file concerned,
- In the Parameters section, click on Work Availability,
- On the next page, click to add,
- Choose the Date Effective of the week for which the employee's availability changes,
- Put a note (optional),
- Choose each day of the week, then +Add to add hours,
- Change the hours of availability, if necessary,
- Repeat the process for each day of the week,
- Click Save.
2. Ask your employees to submit their weekly availability or occasional unavailability to you
Your employee will need to follow
this guide to submit their availability or unavailability.
Once done, you (the manager) must accept the request for it to be validated.
To do this, you must go to the Messages,
