Adding a custom time banks to your employees

The custom time banks are used to store the hours of your employees for floating holidays, in days or in hours.
You can also use the custom time banks function to create specific categories of leave that you want to grant to your employees: birthday, wedding, moving.
In order to give the rights to a user to manage the personalized time banks:
  1. Go to the manager's folder, limited administrator,
  2. Click on Mobile and Web Access,
  3. Under the Administrative Rights section, check the box Can manage Custom time banks, to give the manager access to plan personalized time banks,
  4. Click on Save.


In order to give the rights to an employee to use the days of his Custom time bank
  1. Go to your employee's file,
  2. Click on Work parameters,
  3. Under Schedule, check the box Employee can submit requests to use his Custom Time Banks (subject to approval),
    If you want all employees to be able to make requests, click Apply these "Schedule" parameters (except sort order) to all employees.
  4. Click on Save.

Configuration and creation of custom banks

Once the option is activated, here are the steps to follow:
  1. From the Parameters , go to the Custom time banks manager section,
  2. Click on Add +,
  3. Indicate: the Name and the different winnings codes that will be used.
  4. Remember to check the box The bank is active, and to select the users that can use it.
  5. In the employee's file, from the Sick leave bank or the Vacation bank, you will see a section for the Custom time banks.
    Click on the + sign to add your bank.




Once the Time banks have been created, if you wish to authorize one or more managers to access them, you can follow the following steps which will save you time.
  1. In the menu Custom time banks manager,
  2. Click on  ,
  3. Select the users to whom you want to give access,
  4. Check the Authorized access box in front of the time banks,
  5. Click on Save.


Use of the personalized time bank on the schedule

  1. When creating the employee's schedule, under Shift Type select Time Bank,
  2. Your employees can also use their personalized time bank to request time off. To learn more, click here.


  1. You can preview the timesheets and check the data that will be exported by clicking on the $ sign.


Reports - Personalized banking

To facilitate the management of personalized time banks, we have created two reports:
One for the balance of the various banks and the other for the details of each of the banks.

To get there :
  1. From the Reports  menu> Report - Custom banks
    Custom Time banks balance (Used balance and remaining balance)
    or
    Custom Time banks details (List of all transactions)

If you have multiple banks, each will be displayed in a filing cabinet.
The reference date must be a date after the creation date of the last personalized bank.

Transaction in personalized time banks

To access the history of all personalized time bank transactions,
  1. Click on Parameters ,
  2. Choose the Custom Time Bank Transactions sub-menu,
  3. Choose the department(s) for which you wish to have transaction details,
  4. Choose the period and click on Load.

If one of your employees had to have a bank for the chosen period and does not have it, from the "Add" button at the bottom of the page above, you can add it:
  1. Choose the bank of banks already created,
  2. Choose the date of application,
  3. Choose the transaction type and the value in an HH/MM,
  4. It is very important to determine if this transaction should be exported by the payroll,
  5. Save.


Adding custom time banks in batch

If you want to add custom time banks to multiple employees at the same time, follow this method:
  1. In the main menu, click on Employees, Add custom banks in batch submenu,
  2. Enter the required information,
  3. You will notice that you have to insert a start and end of the period twice. The second mention is not compulsory, but it allows your personalized bank to have a validity interval, as for holiday banks for example. By filling in the second, the first will automatically adjust.
  4. If you want employees to be paid at their current hourly rate on the times in this time bank, tick the Use the Employee's Hourly Wage
  5. Once the fields are filled in, click on Search,
  6. Select all employees or one by one by checking the box next to their names.
  7. Define an hourly wage if you have not checked the Used the Employee's Hourly wage box,
  8. Click on Save.
